From Siloed to Global: How a Post-Production Studio Transformed Its Workflow with Iconik, Backblaze B2, and Suite Studios
The Challenge
A mid-sized independent post-production studio had built a strong reputation for long-form episodic and commercial work — but their infrastructure hadn’t kept pace with how the industry was moving. Their environment was a patchwork of on-premise NAS systems, disconnected local edit suites, and a manual file management process that relied heavily on individual editors knowing where things lived.
As client demands for faster turnarounds grew and the studio began winning projects that required collaboration across time zones, the limitations became impossible to ignore:
- No centralized asset management. Finding a specific cut, version, or raw clip meant digging through shared drives or pinging the right person.
- Zero remote access. Editors outside the building were effectively locked out. Freelancers required painful sneakernet or slow VPN tunnels to unmanaged storage.
- No scalable archive strategy. Completed projects were stored on aging spinning disk with no offsite redundancy and no clear retrieval workflow.
- Production tracking lived in spreadsheets. Project status, deliverable checklists, and team assignments were managed manually — creating version confusion and coordination overhead.
They knew they needed a modernized stack. What they didn’t have was a clear picture of what that stack should look like, or how to get there without disrupting active productions.
The Discovery Process
1303 Systems was brought in not to sell a product, but to understand a workflow.
The engagement began with a structured discovery phase — a process 1303 treats as non-negotiable before any architecture recommendation is made. Through a series of stakeholder interviews and on-site workflow observation sessions, the 1303 team mapped the studio’s day-to-day operations at a granular level: how media moved from ingest to editorial, how client review was handled, how versions were tracked, how deliverables were packaged and archived, and where handoffs broke down.
Key findings from discovery:
- The majority of daily frustration traced back to the absence of a single source of truth for media assets
- Client review cycles were averaging 30–40% longer than necessary due to emailed feedback chains and manual version tracking
- The studio had unmet demand for freelance and remote talent they couldn’t onboard effectively due to infrastructure constraints
- Archive retrieval for past projects was taking days — sometimes resulting in client-facing delays
With a clear picture of the business problem, 1303 designed a cloud-connected, globally accessible architecture built on three integrated platforms.
The Solution
Iconik — Media Asset Management at the Center
Iconik was selected as the operational hub of the new environment. Every piece of media — proxies, finals, raw camera files, and deliverables — flows into iconik with structured metadata applied at ingest. Editors, producers, and clients interact with a single, searchable interface regardless of where the underlying media lives.
Key capabilities deployed:
- Custom metadata views aligned to the studio’s existing project taxonomy
- Automated proxy generation for all ingest formats
- Client-facing collections for review and approval, eliminating email-based feedback loops
- Role-based access allowing freelancers and remote editors to collaborate without accessing the full internal environment
Backblaze B2 — Scalable Object Storage and Archive
Backblaze B2 was integrated as the studio’s primary cloud storage and archive tier. High-resolution source files and completed project archives are stored in B2 at a fraction of the cost of comparable enterprise cloud storage. Iconik’s native Backblaze integration means assets stored in B2 remain fully discoverable and retrievable directly through the MAM — no manual retrieval process required.
Benefits realized:
- Active project media accessible from any internet-connected location with appropriate credentials
- Completed projects archived automatically at project close, clearing on-premise storage for active work
- Redundant, geo-distributed copies of every deliverable — eliminating the single-point-of-failure risk of their previous on-premise-only archive
- Predictable, dramatically lower cost per terabyte compared to their legacy approach
Suite Studios — Production Coordination Unified
Suite Studios was deployed as the studio’s production management layer, replacing the spreadsheet-based tracking system that had been a persistent source of confusion. Project timelines, deliverable checklists, team assignments, and client milestones are now managed in a single platform — visible to the full team and tied to the media living in iconik.
The combination of Suite Studios for project coordination and iconik for asset management eliminated the gap between “where is the project?” and “where is the media?”
The Outcome
Implementation was phased to protect active productions, with 1303 managing the migration, integration configuration, and staff training end-to-end.
Within 90 days of going live, the studio had measurably transformed how they operate:
| Metric | Before | After |
|---|---|---|
| Remote editor access | None | Full, with role-based permissions |
| Archive retrieval time | 1–3 days | Minutes via iconik |
| Client review cycle time | Avg. 8–10 days | Avg. 4–5 days |
| Freelance onboarding time | 1–2 days (VPN/NAS setup) | Same-day via browser |
| Storage cost per TB (archive) | High (aging spinning disk + maintenance) | Dramatically reduced via B2 |
The studio now operates as a globally capable team. Remote editors in two additional cities are full participants in the production workflow. Freelance colorists and VFX artists are onboarded same-day with scoped access to only the assets they need. New clients in different time zones are no longer a logistical hurdle — they’re a growth opportunity.
"We'd talked to other integrators before 1303, and every conversation felt like we were being walked toward a sale. 1303 was different from the first call — they came in, asked hard questions, and didn't let us off the hook with vague answers. By the time they made a recommendation, they understood our workflow better than some of our own staff did. The system they built didn't just fix our current problems — it opened up work we couldn't have taken before. We're running a global team now out of infrastructure we actually trust. That's entirely because of 1303."
